FIELD NOTES / OPERATIONS
Start with the daily flow. Then choose the software.
Write down how students join, how plans are activated, how meals are issued and how exceptions are handled. Software should make those rules visible, not invent them.
Start with a service calendar
List the actual breakfast, lunch and dinner windows, including weekdays when a meal is not served. Record closures before taking attendance. A closed kitchen and a student missing lunch are not the same event.
Keep enrollment separate from a purchase
A student joining your mess and buying a meal plan are different decisions. Explain who approves enrollment, which plan the student selected, its dates and entitlements, and when a payment activates that plan.
Give every meal an understandable record
The serving team should see a confirmed outcome before issuing a meal. Students need an understandable balance and history. Teach both sides how to handle an expired plan or a network error without treating a pending request as success.
Close the day with exceptions
Review failed deliveries, cancellations and support requests alongside confirmed meals. Train workers using a small test cohort before expanding. Attendance software cannot substitute for food hygiene, clear communication or consistent service.
